What exactly is a quote?
A quote tells the customer: “if you order, this is what it costs”. It is a price proposal, written, dated, with a validity period. It does not take any goods out of stock and creates no debt: as long as the customer has not accepted, nothing is owed.
Its value is precisely that the price is written down. When the customer comes back three weeks later saying “you told me it was cheaper”, the quote settles it. In practice, a quote signed or approved in writing by the customer serves as a record of the agreement on price and quantities: that is the role of the “Accepted” box at the bottom of the template.
What should go on a quote?
A quote is not an invoice, and article 145 of the CGI sets out the mandatory details of the invoice, not of the quote. But repeating on the quote the same information as on the future invoice is good practice: the customer checks everything at once, and on invoicing day nothing changes.
- Your company name, address, phone number, and your identifiers: IF, business tax (TP), RC and ICE.
- The customer's name, address, and ICE if they are a company.
- A quote number (for example D-0042) and the date of issue.
- The expiry date.
- Each line: description, quantity, unit price excluding VAT, line total.
- The total excluding VAT, the VAT and the total including VAT, with the rate applied.
- The terms: delivery time, payment terms, any deposit.
VAT on a quote in Morocco
Since 1 January 2026, Moroccan VAT has only two rates, 20% and 10%, plus exempt transactions. The old 7% and 14% rates were abolished by the 2024 to 2026 Finance Acts. If you are keeping an old quote template with a 14% column, now is the time to throw it away.
Illustration: 50 bags of cement at 80 DH excluding VAT, i.e. 4,000 DH excluding VAT. With VAT at 20%, the quote shows 800 DH of VAT and 4,800 DH including VAT. Always write the rate next to the amount: the customer sees what they are paying, and so does your accountant. If in doubt about a product's rate, ask them before sending the quote.
How long does a quote stay valid?
You set the period, and it must be written down. Common practice is around 15 to 30 days. For goods whose price changes fast at your suppliers, keep it short; for a stable item, you can allow a month.
Without an expiry date, the customer can come back six months later with your old price in hand, and the discussion gets painful. The generator above suggests 15 days by default, which you can change. After that date, you draw up a new quote at the current price.
What about the Word file?
Many people look for a “free Word quote template”. To be clear: this page does not offer a Word or Excel file to download. You fill in the quote directly online, the totals and VAT calculate themselves, then you print it or choose “Save as PDF” in the print window.
A PDF has one advantage over Word: the customer cannot change your prices before sending it back to you. You send it by WhatsApp or e-mail, and it looks the same on every phone.
After the quote: purchase order, delivery note, invoice
The customer accepts: the quote becomes a purchase order, which says what they expect. The storekeeper prepares it, the goods leave with a delivery note signed on receipt, then you invoice what was delivered. Stock goes down only once: on delivery.
Not to be confused with the pro forma invoice: it looks like an invoice and is mainly used when the customer needs one for a formality (bank, import, purchasing department) before paying. For a simple price proposal, the quote is enough.

Is this quote template really free?

Can I download the quote in Word or Excel?
No, there is no Word or Excel file. The quote is filled in online and saved as a PDF through the print window (“Save as PDF”). The PDF has the advantage that the customer cannot change it.
Which VAT rate should go on a quote in Morocco?
Since 1 January 2026, there are two rates, 20% and 10%, plus exemptions; 7% and 14% have been abolished. The rate depends on the product or service: if in doubt, check with your accountant.
Is the ICE mandatory on a quote?
Article 145 of the CGI requires the ICE on the invoice, not on the quote. Putting it on the quote is still good practice: the customer already has all your identifiers, and the invoice will repeat the same information.
What is the difference between a quote and a pro forma invoice?
The quote is a price proposal that the customer accepts or not. The pro forma invoice has the form of an invoice and is mainly used by the customer for a formality before payment, such as a bank or an import. Neither replaces the final invoice.
How do I turn an accepted quote into an invoice?
