What a delivery note is for
The delivery note (DN) goes with the goods all the way to the customer. It says what left the depot and, once signed, what the customer acknowledges having received. It is proof, not a request for payment: that is the invoice's job.
Without a signed delivery note, a dispute comes down to word of mouth. “Two cases were missing”, “the package was open”: it is your word against theirs. With a signed delivery note, the answer is on paper. It is a check for you too: the note tells the storekeeper what to load, and the driver what to hand over to whom.
What goes on a delivery note
No Moroccan text sets the content of a delivery note. The custom, among traders and wholesalers, is to include at least:
- Your details and the customer's, with the delivery address if it is different.
- A delivery note number and the delivery date.
- The reference of the original order, to link the note to what the customer asked for.
- For each line: the description, the quantity delivered and the unit (case, piece, kg).
- The prices, only if you choose a priced delivery note.
- A box for the customer's name, signature and stamp, with the date of receipt.
Signature and reservations on receipt
The customer counts before signing, not after the truck has left. If something is wrong — a missing case, a damaged item, a wrong reference — they write it on the delivery note, next to their signature: these are the reservations. A precise reservation (“2 cases of oil crushed”) is better than a vague “subject to reservations” that says nothing.
Have two copies signed: one stays with the customer, the other comes back to the depot with the driver. It is this signed copy that you will bring out in case of disagreement. As for how long to keep them, law no. 9-88 requires accounting documents and supporting documents to be kept for ten years; ask your accountant whether your delivery notes are among them, and if in doubt, keep them.
Priced or unpriced delivery note
A priced delivery note shows the prices and the total; an unpriced one shows only the quantities. The unpriced version is common when the driver or one of the customer's staff should not see your prices, or when the invoice follows anyway. The priced version reassures the customer who wants to check the amount on receipt.
Both are valid: what matters are the quantities and the signature. The template above lets you choose in one click.
Example: partial delivery and outstanding balance
Illustration. A grocer orders 40 cases of oil at 150 DH, i.e. 6,000 DH. The depot has only 25. The delivery note shows 25 cases, not 40: you write what actually leaves. The customer signs for 25. Above all, do not write 40 hoping to deliver the rest tomorrow: the customer would have signed for goods they did not receive.
The invoice follows the delivery note, not the order: 25 × 150 = 3,750 DH. The remaining 15 cases form the outstanding balance. The order stays open; when stock comes back in, a second delivery note for 15 cases goes out, then its invoice for 2,250 DH. Total: 6,000 DH, in two deliveries, without invoicing anything that has not left.
From delivery note to invoice, without retyping
On paper, the trap is copying: the order into the delivery note, the delivery note into the invoice. One forgotten line and the stock no longer matches. Cancelling a delivery note puts the goods back in stock, but a delivery note that has already been invoiced cannot be cancelled. Frequently asked questions
Is a delivery note mandatory in Morocco?
We have found no Moroccan text that requires a delivery note for every sale or that sets its content. In practice, it is customary as soon as goods are delivered, because it is the proof of what the customer received. For your specific case, check with your accountant.
What is the difference between a delivery note and an invoice?
The delivery note proves what was delivered and received; the invoice says what the customer must pay. The invoice is made from the delivery note: you invoice what actually left, not what was ordered.
Should prices be shown on a delivery note?
No, it is a choice. An unpriced delivery note shows only the quantities, which is useful when the driver should not see your prices. A priced delivery note lets the customer check the amount on receipt. The template lets you show or hide the prices.
What if the customer refuses part of the delivery?
They write it as a reservation on the delivery note before signing: quantity, item and reason. The refused goods go back to the depot and you invoice only what was accepted.
How do I handle a delivery in several goes?
One delivery note per delivery, each with the quantity that actually left and the reference of the same order. The order stays open until everything is delivered; each delivery note can then be invoiced.
